E-mails Capture
A significant number of agents advised us that the majority of their communication with clients, DIMA and other organizations is by e-mail. Following the release of Migration Manager version 1.0.0, many users requested that Migration Manager incorporate a feature whereby they could efficiently capture e-mails both sent and received, and quickly assign them to the relevant client’s file.
Following our significant efforts in this area, Migration Manager goes one step further; not only does Migration Manager capture e-mails, but analyses e-mail content, searching for a valid client reference (or ‘Client ID’) and using this to ‘suggest’ a client file based on those findings. Users can of course override the system and assign the e-mail to another file (or files). E-mails may also be saved to all client files with a single click - particularly useful for filing any legal updates or other articles that may be relevant to all files.

The system accesses directly the MAPI interface used by Microsoft Outlook, and therefore is capable of running without Outlook being open.

The e-mails capture feature contains safeguards designed to ensure that e-mails are not misplaced, by continually synchronizing with the file system, and which warn the user if anomalies are found. Due to the way in which this system operates, there is no need to have Outlook running in order to capture e-mails.
With the capture of e-mails, Migration Manager is now capable of efficiently handling all document types in relation to client’s files. The system is simple to use and tracks the history of e-mails capture, thereby ensuring all e-mails are caught and with no double-ups.
This system provides huge benefits to the agent’s practice: There should be no more instances of client-related e‑mails permanently residing in various users’ Outlook folders instead of making their way to the appropriate client file.
